It doesn't matter if you pour concrete, wash the concrete, or fix the concrete… you will eventually have Jobs where you need to access more contacts than ServiceM8 is designed to handle.
What do I have to work with?
In a single Job you can have up to 3 contacts of specific types:
- Job Contact
- Traditionally this is the primary contact at the Job, who your field staff will be interacting with when on the site.
- This is always the "default" contact on a Job
- Whoever is set as the "Primary" contact on the Client Record will become the Job Contact on future Jobs.
- Billing Contact
- This is who you will be sending the Invoices to.
- If it is the same as the Job Contact, you do not need to add this additional contact.
- Property Manager
- This ambiguous label is the 3rd contact type in a Job.
- This contact is designed to be the one who might be higher up the ladder than the Job Contact, but still available to you.
What do I do when I have more contacts?
Save them to the Client Record
While the Job may only support up to 3 contacts, the Client record can store as many additional contacts as you need. Thanks to Smart Contacts, you can easily pull any Client record contact to be populated into one the 3 Job contacts with ease!
Save them to the Job Diary as a Note
Notes in ServiceM8 are rather powerful and tagging is a big part of that. By adding the additional contact as a Note to the Job, you can easily tap to call or email the contact.
There is always Custom Fields
One of the benefits of Job Contacts is the ability to have the contact and their details populate into documents. This aspect will not work with content stored as not or on the related Client record. With ServiceM8's Custom Fields you can store the data in a number of way in the Job and have that same data made available to populate documents, emails and sms messages.
3rd Party Add-ons
While ServiceM8 has a few native options, there are still a few more that might interest some teams:
- ServiceGuru Notepad
- This add-on is simply a freeform notepad where you can place anything you like in. The benefit in this use case is creating a place there you can store anything text related in an easy to update rich-text box.
